EveryCity are committed to respecting your privacy. This policy outlines the ways in which we collect data from and about you, and what we do with this data, so that you can make an informed decision about whether to supply us with your personal data or not.
Throughout this document we shall use “We” and “Us” to refer to Every City Limited, a UK Limited Company with Company’s House Registration Number 5689474.
We shall use “You”, “Your” and other second person pronouns to refer to the person whose information we are collecting and processing.
3 UK Data Protection
We are UK Data Protection Act 1998 registered (Registration Number Z9990709). The data controller is “Every City Limited” and our nominated representative is Alasdair Lumsden.
We will make every effort to ensure that we comply with the UK Data Protection Act. This act gives you the right to request access to the information held about you. 4 Data we may collect
During any correspondence with us by any medium (including by email, telephone, instant messenger, or web form) we may collect personally identifying information, including the current date and time, your name, contact details, your IP Address, chat or email transcripts, data provided by your web browser via HTTP headers, and any other files or data provided to us.
The purpose of gathering this information is to help us provide you with a better quality of service. Much of the automatic data gathering (such as web logs) will be used for statistical purposes, and may not personally identify you.
When interacting with our web services, such as our corporate website, customer portal, ticket system, API, or domain management system, we may instruct your web browser to store a cookie so that we can uniquely identify you as you use the service. These cookies operate as an alphanumeric identifier and cannot be executed as code or used to deliver a virus. Other servers cannot read them nor can personal information be obtained from them.
You may at your discretion opt to remove any cookies placed by us from your web browser. You may also opt to configure your web browser to block cookies from us, but this may prevent you from using our web services as cookies are required for their correct operation.
6 Usernames and Passwords
Many of our Web Services require the use of a Username and Password (such as our customer portal, ticket system, API, and domain management system). Passwords may be automatically generated, or supplied by you when creating an account through that system.
Where possible we will ensure that automatically generated passwords and passwords supplied by you meet minimum industry standard complexity requirements. This is to ensure that a remote attacker cannot easily gain access to your account.
Further, we will store your password encrypted using an industry accepted method (such as a salted one way encryption hash). This is to protect your password in the event that the encrypted password is somehow obtained by a third party.
It is your responsibility to keep this password safe. Always use a long secure complex password. Do not reveal it to anyone. Please make sure you change your password on a regular basis, and do not use the same password for different web services. We would recommend the use of a secure password management system, such as LastPass, and use a two factor authentication mechanism such as Yubikey.
7 Third Party Services
We may make use of Third Party Services, such as email marketing systems, web traffic analysis software, ticket systems, and the support systems of our suppliers. These third parties may collect your information. By interacting with us you agree to allow your information to be collected and stored by these third parties.
8 Data held in the UK
EveryCity operate the majority of its data processing systems within the UK. Data that is collected within the UK will be kept within the UK, and not exported to systems outside of the UK except where we are using a third party service as outlined above, or where we have been authorised to do so by the owner of the information.
9 Data held abroad
We operate geographically diverse DNS Servers for the purpose of resolving Internet Domain Name Records to Internet Protocol (IP) Addresses. These servers do not log personally identifiable information.
Where we operate services on behalf of clients in non-UK countries, we will aim to abide by UK, International Law and the Laws of the country where these services are kept. We will only pass your information on to third parties in these countries where we are legally obligated to do so.
10 Keeping Information Secure
EveryCity take security very seriously. We have strict internal procedures to ensure any data held about you is kept in a secure manner. We follow industry best practices, including ensuring our servers are kept up to date with the latest patches, have anti-virus software installed and kept up to date, and are firewalled appropriately.
Where appropriate we make use of HTTPS SSL encrypted communication. Usernames and Passwords will never be transmitted via an unencrypted channel.
Information transmitted via unencrypted methods must be considered at risk of being intercepted by a third party. This includes email, which is typically not encrypted end-to-end.
11 Information use and processing
We may use or process your information in the following ways:
To automatically log you in to services where appropriate
To identify you when accessing our systems in order to deliver a more personalised service
To provide content that is tailored for your language, geographic location, device, or web browser
To provide you with information on products or services that may be of interest to you
To notify you of changes to our service
To fulfil any contractual obligations we may have to you
12 Marketing and Communications
We may use your information to send you marketing communications by telephone, post or email. For email correspondence, there will always be a method of opting out of receiving future communications. You may also contact us to let us know if you wish to opt out of telephone or post based communication.
13 Information Disclosure
We will never sell your information on to a third party without your express written consent. We will never knowingly hand over your information to a third party if we believe that third party will use the information to send marketing communications to you.
If EveryCity is purchased by a third party, then your information may become the possession of this party.
We may be obligated to pass your information on to a third party if compelled to do so by a law enforcement agency.
We may be obligated to pass your information on to a third party in order to fulfil any legal obligations we have, or to protect our property or rights.
We may also pass your information on to third parties for the purposes of due diligence, credit risk reduction and fraud prevention.
